Plan Before You Start

Decide how you’ll use the recognition data and files:

  • Will you convert files to searchable PDFs?
  • Will you rename/organize the file/directory structure?
  • Will you only upload to Sys.tm, or also download processed data?

Consider using separate machines for uploading and retrieving to spread the workload. Test your Flow with a small sample before sending large batches.


Flow Setup and Auditing

Sys.tm Flows include detailed logging and tracking. You can also:

  • Clean up source folders/files after files move successfully.
  • Increase log settings if extra tracking is needed, but keep in mind this may increase costs.

Make sure your Flow is configured correctly and Pause on Errors is enabled to catch issues early. Also, confirm your metered limits support the expected volume.


Windows Sys.tm Client Settings

  • Use Send to Sys.tm instead of dragging files into the folder. Dragging creates unnecessary internal activity.
  • Set the Sending Client(s) to Not Synced. This prevents stub files and reduces overhead.
  • Keep folder contents at a reasonable number to avoid overtaxing Windows Explorer.
  • Raise Maximum Threads from 5 (default) to around 20 on dedicated upload machines.
  • Test small batches first to find the best performance balance and avoid unnecessary charges.
